Position Overview
We are looking for a Group Payroll & Expense Specialist to join our dynamic Group HR team. In this role, you will act as a Subject Matter Expert (SME), supporting both group and local organisations in ensuring accurate, compliant, and efficient payroll and expense management processes. You will own and manage our group payroll platform (Papaya) and our expense management system (Rydoo), ensuring their effective use and continuous improvement across the business.
This role is ideal for a detail-oriented professional who thrives on collaboration, process excellence, and problem-solving within an international and fast-paced environment.
Key Responsibilities
- Payroll Expertise & Support: Act as the group payroll advisor and liaison, ensuring effective and efficient use of the system (stepping in operational processing where needed), managing the payroll provider relationship, and driving process excellence through key metric tracking.
- Expense Management: Serve as the group’s expense process expert, overseeing the Rydoo platform, driving system optimisation and adoption, and guiding employees and managers on effective policy use.
- Process Improvement & Standardisation: Ensure consistent, efficient, and compliant payroll and expense processes across the group by driving improvements, enabling local adaptations, and supporting audit readiness.
- Compliance and Governance: Monitor legislative changes across jurisdictions, conduct regular audits, and collaborate with stakeholders to ensure compliance, supported by clear documentation of payroll and expense procedures.
- Systems Ownership: Act as the system owner for Papaya and Rydoo, managing upgrades, integrations, reporting, and vendor relations, while supporting system projects like country rollouts, M&As, and internal tool integrations.
- Stakeholder Collaboration: Foster strong collaboration with local and Group HR and Finance while contributing to group-wide HR projects on systems, organisational change, and growth initiatives.
Qualifications
- Bachelor’s degree in Finance, Human Resources, Business Administration, or a related field.
- 5+ years of hands-on payroll and/or expense administration experience in an international, multi-country environment.
- Experience with payroll and expense systems, preferably Papaya and/or Rydoo.
- Strong understanding of payroll compliance, taxation, and social security principles.
- Proven ability to act as a knowledgeable advisor across different teams and cultures.
- Strong analytical, numerical, and problem-solving skills.
- Exceptional attention to detail and a commitment to data integrity.
- Excellent communication skills in English (written and spoken); additional languages are an advantage.
- Ability to manage multiple priorities and deadlines independently.
- Experience managing third-party vendors and SaaS systems preferred.
